Finance & Administration Officer

Roles & Responsibilities:

  • Responsible for all kinds of printing materials in coordination with the Assistant Officers.
  • Responsible for updating asset inventory list. Arrange disposal of old furniture.
  • Prepare and update vendor/contractor list year wise. Prepare all local level purchase orders, contracts etc. as and when necessary.
  • Ensure smooth running and maintenance of all MAX vehicles at field level. Ensure an effective monitoring system for the maintenance of vehicles.
  • Organize sitting, furniture and equipment arrangement for existing/new staff in field offices.
  • Assist IT Section for procurement of IT items and recording of those items in the asset registers.
  • Maintain close liaison with all departments and keep them up to date regarding their material requisitions.
  • Assist for maintaining store and stock as per standard norm and physically verify them once per month. Any discrepancy must be reported to Supervisor.
  • Arrange air/bus/train tickets, reconfirmation of tickets local/overseas related tours of staff/visitors.
  • Work as the key person for any movement of item to/from MFB Dhaka.
  • Ensure all security and logistics measures are current and up-to-date for field staffs.
  • Verify OT of support staff ensuring OT hours are distributed equally/rationally among them.
  • Ensure that proper dispatching of letters/memos/parcels through Courier Service Providers.
  • Supervise and ensure the support staffs skills (behavioral and job related) are incrementally enhanced through effective guidance.
  • Coordinate with other team members of other Sections on any finance / administrative issues.
  • Competent to make effective decisions, uphold MFB values, promote integrity and advance organizational mission and vision.
  • Should be able to draw confidence and support from others.
  • Ability to work under pressure, 50% field visit and meet deadlines.

Educational Qualification:

  • M.Com/MBA (Finance) with minimum 5 years practical experience in Finance and Administration department preferably with NGOs.

Work Experience:

  • At least 5 year(s)

Others Requirements:

  • Clear understanding & functional knowledge on project administration & finance management. procurement, inventory. stock & storage system in any NGO or reputed organization.
  • Good PC operating skills in MS word and MS Excel in Bangla & English.
