Roles & Responsibilities:
- Provide administrative and logistical support to SMSD staff for all SMSD project sites.
- Monitor existing resources such as SMSD stationery stock and phone credit; estimate new requirements aiming at efficiency, cost-effectiveness and timeliness of operations and services for the SMSD staff.
- Provide administrative and logistical support to staff regarding duty travel, work/ RnR travel authorizations, security clearance, and expense claims by ensuring all the required documentations are attached to the Travel Authorization forms before submitting to Finance and HR for approval and/or processing.
- Provide HR assistance with close collaboration with IOM COX BAZAR HR department for the operations of the SMSD unit by collecting Curriculum Vitae, shortlisting of the candidates and conducting interviews when field volunteers are requested and required to cover SMSD operations in the field.
- Provide HR assistance working closely with IOM COX BAZAR HR team in the recruitment of Enroute staff for the SMSD unit.
- Provide HR assistance by following up with IOM COX BAZAR HR team to verify all the new staff assigned to SMSD report on a timely manner and all HR procedures are carried out before staff reports for duty.
- Follow up with HR on the timely pay to all Enroute staff.
- Receive and orient all the new joining SMSD staff to the unit, by introducing the staff, sharing the units orientation package and ensuring the staff is assigned a laptop.
- Follow up with SMDS staff in the timely delivery of staff attendance sheets for further forwarding to HR.
- Follow up with field team and finance unit on the preparation and liquidation of petty cash/cash advance according to IOM procedures and in a timely manner.
- Assist to compile weekly and monthly reports for the units petty cash/ cash advance in a timely manner and with accuracy Regularly updating the sharing the report with the SMSD Programme Manager, Programme Support Officer and all the relevant coordinators.
- Keep up to date compilation of the SMSD mailing list and update the SMSD staff list, contacts/ email master list and share them with the SMSD management regularly.
- Assist the unit in the organization of trainings in particular ensuring all the logistics are covered, booking of conference facilities, booking of refreshments and all the materials needed for the trainings.
- Assist to compile and collect all the documents needed to ensure the cost of the units completed trainings are covered and settled in a timely manner.
- Perform any other relevant tasks assigned by SMSD Programme Support Officer and SMSD Programme Manager.
Educational Qualification:
- University degree or diploma, preferably in Administration or equivalent combination of training and experience.
Work Experience:
- At least 2 year(s)
Others Requirements:
- Experience working with international organizations in particular IOM.
- High level of computer literacy (MS Office Word, Excel, Outlook).
- Excellent communication skills both oral and written.
- Ability to prepare clear and concise reports.
- Strong strategic, analytical and creative thinking skills.
- Ability to cooperate and coordinate with other units, implementing partners, NGOs and government departments, particularly in Bangladesh.
- Personal commitment, efficiency, flexibility and drive for results.
